Responsibilities
Grant Writing
Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
Prepare, proofread, and transcribe documents, reports, and correspondence to ensure clarity and accuracy.
Coordinate projects by tracking deadlines, organizing meetings, and facilitating communication among team members.
Handle office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records.
Serve as a personal assistant by managing phone etiquette on multi-line phone systems, screening calls, and responding promptly.
Plan and organize events or meetings, including logistics, catering arrangements, and materials preparation.
Support executive administrative functions by performing clerical duties like photocopying, faxing, and managing office supplies.
Utilize Office Suite tools (Microsoft Office) effectively for creating presentations, spreadsheets, and documents.
Assist with front desk responsibilities when needed—greeting visitors and providing excellent customer service.
Use DocuSign for electronic signatures and facilitate document signing processes efficiently.
Experience
Proven experience as an Executive Assistant or Personal Assistant supporting senior executives in a fast-paced environment.
Demonstrated proficiency in office management software including Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and QuickBooks.
Strong organizational skills with the ability to prioritize tasks effectively while managing multiple projects simultaneously.
Excellent typing speed combined with transcription skills to produce accurate documentation swiftly.
Experience in event planning, calendar management, data entry, filing systems, and clerical support functions.
Exceptional communication skills with professional phone etiquette across multi-line phone systems.
Familiarity with office equipment such as scanners, copiers, fax machines, and front desk operations.
Knowledge of bookkeeping practices and experience with electronic signature platforms like DocuSign is a plus.
